Payment Information

Payment-card information is generally submitted directly to our payment processor or other payment service provider. Military Loop does not intend to store full payment-card numbers. We may receive limited payment information such as transaction ID, payment status, card brand, last four digits, billing details, chargeback information, or other information needed to administer an order.

2. Career, Candidate, and Resume Information

Career-service submissions may contain personal and professional information that is more sensitive than ordinary website data. We use that information to deliver the service you requested, communicate with you, prepare materials, coordinate coaching or assessments, and maintain appropriate service records.

Please do not submit unnecessary sensitive information. Do not provide Social Security numbers, bank-account information, passwords, medical records, full dates of birth, or other information that is not needed for the service. Do not submit an unredacted DD214 unless Military Loop specifically requests it through an appropriate process.

Purchasing Employer Services, Vanguard membership, advertising, or sponsorship does not automatically give an employer, sponsor, or partner access to private candidate information. Candidate information may be shared with an employer or other recipient when the candidate directs or authorizes the sharing, when it is necessary to complete a requested application or service, or when another lawful basis applies.

3. Employer and Organization Information

We may collect information from employers and organizations through intake forms, purchases, discovery conversations, campaigns, training engagements, recruiting services, directory listings, and written scopes. We use this information to understand workforce needs, provide services, manage the relationship, prepare reports, and communicate about the engagement.

Employers should not submit confidential employee, applicant, health, disciplinary, or protected personal information unless it is necessary for a defined service and the employer is authorized to provide it.

4. How We Use Information

We may use information to:

  • Create and manage accounts, directory listings, profiles, events, deals, classifieds, reviews, and public content.
  • Process orders, memberships, sponsorships, payments, refunds, shipping, fulfillment, and customer support.
  • Deliver resume services, coaching, interview preparation, military-skills translation, workshops, assessments, and other career services.
  • Deliver employer assessments, training, recruiting campaigns, strategic partnerships, embedded talent support, and other employer services.
  • Administer Vanguard membership benefits, directory listings, badge use, job-campaign credits, and related recognition.
  • Track sponsored career services from purchase through assignment and completion and provide permitted reporting.
  • Communicate about accounts, orders, forms, appointments, applications, services, security, policy updates, and customer support.
  • Personalize and improve the Services, understand usage, test features, and measure performance.
  • Prevent fraud, spam, abuse, unauthorized access, security incidents, and violations of our Terms.
  • Comply with legal obligations, respond to lawful requests, resolve disputes, enforce agreements, and protect Military Loop and others.
  • Send marketing or promotional communications where permitted, subject to available opt-out choices.

5. How We Share Information

We do not sell personal information for money. We may share information in the following circumstances:

Service Providers

We may share information with companies that help operate the Services, such as website hosting, e-commerce software, payment processing, fraud prevention, email delivery, cloud storage, analytics, customer support, document tools, print-on-demand and merchandise fulfillment, shipping, scheduling, and other technology or professional service providers. They may use information only as permitted to provide services to us or as otherwise allowed by law and their agreements.

Employers and Recruiting Participants

Candidate information may be shared with employers, recruiters, hiring systems, or other recipients when the candidate requests or authorizes the sharing, applies for an opportunity, or when sharing is otherwise necessary to provide a requested recruiting service. Employer purchases do not provide unrestricted access to a private candidate database.

Sponsors and Partners

Sponsors may receive program-level information, service status, completion information, aggregated reporting, or recognition information consistent with the applicable program. Private candidate identity, contact information, resumes, coaching notes, or personal stories are not provided to a sponsor merely because the sponsor funded a service. Identifying information is shared only where appropriate and with required consent or another lawful basis.

Public Information

Information you intentionally submit for public display may be publicly visible. Examples include directory listings, business contact information, public profiles, reviews, events, deals, classifieds, photos, logos, and other public-facing content. Search engines and third parties may index or copy public information.

Legal, Safety, and Business Transfers

We may disclose information when we reasonably believe disclosure is required by law, legal process, court order, government request, fraud prevention, safety, security, protection of rights, or enforcement of our agreements. If Military Loop or County Loop LLC is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction subject to applicable law.

With Your Consent

We may share information for other purposes when you direct us or provide consent.

6. Cookies, Analytics, and Similar Technologies

Military Loop and service providers may use cookies and similar technologies for login and account functions, shopping-cart and checkout operation, security, preferences, analytics, performance, advertising measurement, and site improvement. Browser settings may allow you to block or delete cookies, but doing so can prevent parts of the Services from working correctly.

Where applicable law requires consent for particular cookies or tracking technologies, we will provide the required choice mechanism.

7. E-Commerce, Merchandise, and Shipping

When you purchase physical merchandise, we may share the information necessary to produce, fulfill, and ship the order with print-on-demand, fulfillment, shipping, or logistics providers. This may include your name, shipping address, contact information, product selection, size, color, and order number.

Payment processors receive payment and billing information according to their own privacy policies and security practices. Military Loop may receive transaction confirmations, refunds, disputes, and limited payment metadata.

8. Sponsored Career Services and Mission Support

Military Loop may maintain records showing when a sponsored service was purchased, available, assigned, in progress, completed, eligible for a thank-you option, and reported. We may also maintain separate records for merchandise-funded mission support. These records are used for accountability, service delivery, fraud prevention, and permitted reporting.

We do not treat a sponsored service as permission to disclose a recipient’s private information to the sponsor.

9. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain business and transaction records, fulfill contracts, support customers, administer memberships and sponsorships, resolve disputes, prevent fraud, meet tax and accounting obligations, comply with law, and enforce agreements.

Retention periods vary by the type of information and purpose. Public-facing content may remain visible until it expires, is removed by the user where tools are available, is removed by Military Loop, or the applicable service ends. Some records may be retained after account deletion when required for legal, security, accounting, fraud-prevention, or contractual purposes.

10. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No internet service, email system, payment system, cloud platform, or storage method can be guaranteed to be completely secure. You are responsible for protecting your account credentials and for using appropriate care when sending information online.

11. Your Choices and Privacy Rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information; to object to or restrict certain processing; to withdraw consent where processing is based on consent; or to appeal a privacy-request decision.

You may also:

  • Update certain account or listing information through available account tools.
  • Unsubscribe from marketing emails using the unsubscribe link where provided. Transactional and service-related messages may still be sent when necessary.
  • Request privacy assistance by contacting support@militaryloop.com.

We may need to verify your identity before completing a privacy request. We may deny or limit a request where permitted by law, including where information must be retained for legal, security, fraud-prevention, or contractual purposes.

12. U.S. State Privacy Laws

Residents of certain U.S. states may have additional rights under applicable state privacy laws. Military Loop will honor applicable rights and required opt-out mechanisms based on the law that applies to the individual and the processing activity.

Military Loop does not sell personal information for money. If our use of advertising, analytics, or other technology is treated as a “sale,” “sharing,” or targeted advertising under an applicable state law, we will provide the notice and choices required by that law.

13. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Paid purchases generally require an adult or legally authorized purchaser as described in our Terms & Conditions. If you believe a child has provided personal information to Military Loop, contact us so we can review and take appropriate action.

14. International Users

Military Loop is operated in the United States. If you access the Services from outside the United States, you understand that information may be transferred to, stored in, and processed in the United States and other locations where our service providers operate, subject to applicable law.

15. Third-Party Websites and Services

The Services may link to or integrate with third-party websites, payment providers, social networks, job sites, applicant-tracking systems, shipping providers, or other services. Their privacy practices are governed by their own policies. Military Loop is not responsible for the privacy practices of third parties outside our control.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The Last Updated date identifies the current version. If changes are material, we may provide additional notice where required by law. Continued use of the Services after an updated policy becomes effective is subject to the updated policy.
